BarCamp Hanoi 2009 Sponsorship
Chief Organizers: None
Responsibility: collect sponsorship and track the status of sponsor commitments and status, make sure the sponsors get their benefits
Tasks before the event
- Create a Sponsor Package
- Generate list of potential sponsors (may overlap with list of software companies in “Marketing” section)
- Contact sponsors and send interested parties the Sponsor Package
- Gather cash – only accept cash donations if they don't need a receipt (this will usually mean small cash donations, maybe $30 or $50)
- Arrange for the specific items purchased, e.g. T-shirts, supplies, to be billed directly to the sponsor
- Gather schwag (free giveaways from sponsors, usually branded, such as pens, caps)
- Get sponsors logos
- Create banners

- Contact each sponsor by email and thank them

- “Chris Messina pointed out that cash donations for the original BarCamp were limited to $200, and went into a ~PayPal account. He also suggested that donations of stuff, rather than cash, were easier to deal with. DavidCrow and JayGoldman have been working with a cash donation limit of $250 for the Toronto BarCamps, also to a PayPal account. ”
- John Berns who organized 3 BarCamps in Thailand recommended:
- Have sponsors sponsor only certain things (venue, catering, T-shirts, etc.) and send them the bill
- Accept small money donations ($30-$50) in cash and only if the sponsors do not need a receipt
- Any larger money donations should not be accepted because they require receipts and it becomes a bookkeeping nightmare
